Terms and conditions 
 

Our custom tour services are tailored to your interests and personal schedule and are not part of a pre-packaged tour. These are fee-based services (applicable to the whole tour cost) , which include individualized tour planning, communication and service charges and incur cancellation penalties.   

COST

·         Initial consultation and introductory package are free of charge. We will give initial approximate cost and suggested itineraries

·         Services include: accommodations, breakfast daily, private car and driver and private guides where applicable, airport transfers. For independent custom travel, we provide car rental or train tickets according to your budget and style. All itinerary planning and details are taken care off to make your trip they way you want.

·         Not included: International or domestic airfare, meals unless specified, passport & visa services, personal costs. We do have access to discounted Int’l First & Business Class fares; please check with us.

·         Your exact costing can only be determined after booking your custom itinerary and may differ based on individual requirements. 

 

BOOKING PROCEDURE & DEPOSITS for individual bookings.

·         Upon reviewing the Terms & Conditions, if you wish to proceed with planning an itinerary, we require an upfront $100 per person non-refundable itinerary planning fee (applicable to total tour cost).

·         Upon receiving fee, we will draw up a suggested outline itinerary for you to review, and we will work on your trip until you are satisfied. Upon acceptance of the itinerary and initial cost, we will begin the booking process and once the hotels and services are confirmed, we will finalize the cost.

·         Final payment is due 60 days prior to departure and must be received along with a signed responsibility waiver before a detailed itinerary and final tour documents can be sent out.  Tour prices are all inclusive and breakdown of costs cannot be provided. Without full payment and signed responsibility waiver tour arrangements will be canceled and applicable cancellation costs will be charged.

 

CHANGES/SURCHARGES

·         First Change in itinerary after initial draft no charge.

·         Subsequent changes $100 per change.

·         No changes within 15 days before departure

 

TRIP CANCELLATION/INTERRUPTION INSURANCE

WHAT HAPPENS IF YOU ARE UNABLE TO TRAVEL DUE TO AN EMERGENCY? We suggest you consider purchasing Trip Cancellation/Interruption Insurance at the initial stage. Our deposits are non-refundable and cancellation fees reflect the costs involved in putting together a custom tour. Once your booking process begins most of the work on designing and booking the trip is done up-front.

Our estimate is that trip cancellation insurance will be approximately $ 20 per day determined by the type of tour.  If the claim is valid this would cover your deposits, cancellation fees and complete tour cost. The bottom line is that if you purchase trip cancellation insurance within the stated time frame, and it is a “covered” reason, your out of pocket cost will be the expense of the travel insurance. CANCELLATIONS & REFUND POLICY  (All cancellations must be received in writing)

·         After booking deposit $100 per person

·         60-30 days before departure, 50% of total

·         30-0 days – no refund

·         Air cancellation fees will be in accordance with airlines rules and regulation

AN EXPLANATION OF OUR FEE STRUCTURE

Customized individual trips are not packaged, the planning and booking process begins with each individual client.  As a rule such trips cost about 35-40 % more than brochure tour packages, as group rates for hotels and transportation do not apply. The process of making reservations in smaller hotels is complicated and costly, and should be taken into account when you receive your final pricing.  It will reflect the cost of the hotel room and the cost of making the reservation. ONCE WE HAVE ACCEPTED YOUR BOOKING AND PAYMENT, IT IMPLIES CONTRACTUAL AGREEMENT OF THESE TERMS & CONDITIONS. 

DISCLAIMER AND RESPONSIBILITY CLAUSE

E&M Travel, division of EMCO Travel, LLC  and any of its affiliated clubs or organizations (collectively, the “Company”) act as intermediary and agents for suppliers (The “Principals”) in selling services which are not directly supplied by the Company, such as air carriage, hotel accommodations, ground transportation, meals, tours, cruises and other related services.  The Company assumes no liability for breach of contract or any intentional or negligent actions or omissions on the part of the Principals which results in any loss, accident, delay, irregularity, damage, or injury to you or your traveling companions or group members either by reason of any defect in any mode of transportation, or for any reason whatsoever, or through the acts or defaults of any company or person engaged in conveying you or your traveling companions or group members or carrying out the arrangements of the tour.  Further, the Company assumes no liability for any injury, damage, loss, accident, delay or irregularity which is caused by any terrorist activities, social or labor unrest, mechanical or construction difficulties, diseases, local laws, climactic conditions, abnormal conditions or unforeseen developments.  The Company assumes no responsibility or ascertaining and/or evaluating local conditions along the itinerary, determining whether or not advisories or warnings exist for any part of the itinerary or communicating to you a statement of same, and in fact has not done so and will not do so.  Before departure, the travelers must check the following websites for current health and travel information and travel advisory.

By embarking on the travel, you assume all risks involved in such travel, whether foreseen or unforeseen.

Any airlines or other carriers used in connection with the travel arrangements shall not be held responsible for any act, omission or event occurring during the time passengers are not on board their plane or other method of conveyance.  The passage contract in use by the airline or other transportation company concerned constitutes the sole contract between the carrier and the purchasers of the tour. 

The Company reserves the right to withdraw the tour or any part of it, to make alterations in the itineraries it deems necessary or desirable, to refuse to accept or retain, as a member of the party, any person at any time and to pass on to tour members any expenditures occasioned by events beyond its control.  The prices quoted are based on U.S. dollar valuation and foreign exchange values and tariffs at the time of printing.  In case of appreciable variations in such values, the Company retains the right to make such adjustments in prices as are necessary.  Unless the term “Guaranty” is specifically stated in writing on your tickets, invoices or reservations and itinerary, the Company does not guaranty any of the Principal’s rates, bookings or reservations. 

You should consider and in your discretion obtain appropriate insurance coverage to the extent available with respect to risks associated with your travel.

Your retention of tickets, reservations or bookings after issuance shall constitute an acceptance of and consent to the above terms and conditions and an agreement on your part to convey the contents hereto to your travel companions or group members.

All travel arrangements are a choice of client who is solely responsible for their choice. If the client is dissatisfied with any part of the package, the ultimate supplier (hotel, tour company, etc.) is solely in the position and the only one with any authority to make any adjustments.

E&M Travel cannot be responsible for any arrangements not made through our agency.

All rates pertaining to independent hotels and services are agency’s negotiated rates and include handling fees consisting of communications expenses incurred to obtain reservations. Rates may differ due to local currency rate fluctuation. E&M Travel will not be held responsible for any differences between rates paid prior to departure and locally posted rates, and absolutely no refunds will be made for such possible differences.
